Commercial Coordinator - Commercial Division

What you can expect

As a Commercial Coordinator, you provide administrative, organisational and operational support to the Sales team, the Director of Sales and the Commercial Director. You ensure that commercial activities run smoothly, reports and data are accurately maintained, and different departments within the hotel work together effectively.

In this versatile role, you are an important link within the Commercial team. You support the Sales Managers with a wide range of activities, from RFPs, contracts and sales trips to site inspections and sales events. In addition, you maintain client information and commercial activities accurately and contribute to a professional and service-oriented working environment.

Your main responsibilities will be:

• Providing day-to-day administrative and organisational support to the Sales team, Director of Sales and Commercial Director, including preparing reports, presentations, contracts, agendas and other commercial documentation;
• Supporting Sales Managers with RFPs, contracting, invoicing, sales trips, site inspections and sales events, including pre-, during- and post-event coordination;
• Maintaining accurate and up-to-date client profiles, account information, sales activities and leads in the relevant systems;
• Preparing and maintaining commercial reports and supporting the monitoring of sales performance and targets;
• Maintaining and updating Sales SOPs;
• Supporting the Revenue department with rate loadings;
• Managing office supplies, sales materials, giveaways and other commercial resources;
• Coordinating invoices and following up with Finance and other relevant departments when required;
• Coordinating training schedules for new Commercial employees and trainees;
• Supporting market and competitor research and providing relevant information to the Sales team;
• Working closely with Marketing and other hotel departments to support commercial campaigns and initiatives;
• Maintaining a strong knowledge of the hotel's facilities, services, products and promotions to ensure accurate information is communicated internally and externally;
• Building strong relationships across departments and contributing to a professional, collaborative and service-oriented working environment;
• Proactively anticipating the needs of the Sales team and contributing to an exceptional guest experience.

What we ask

Of course, we are primarily interested in you and what we can offer you as an employer. In addition, we expect you to have:

• Preferably relevant work experience as a Sales Coordinator, Sales Administrator, Sales Assistant, Commercial Coordinator or in a similar role;
• Experience within a four- or five-star hotel, luxury hospitality, travel or a high-end service environment is an advantage;
• Excellent organisational and planning skills, with a strong eye for detail;
• Excellent written and verbal communication skills;
• The ability to prioritise and effectively manage multiple tasks simultaneously;
• Good knowledge of Microsoft Office, particularly Outlook, Word, PowerPoint and Excel;
• Experience with CRM, PMS or hotel sales systems is an advantage;
• A proactive, flexible, reliable and solution-oriented approach;
• The ability to work independently while also contributing to a strong and successful team;
• An analytical and results-oriented mindset;
• A service-oriented attitude and a strong ability to collaborate with different departments within the hotel;
• Fluency in Dutch and/or English, both written and spoken.
