Assistant Reservations Manager

Hotel Okura Amsterdam is looking for an Assistant Reservations Manager. The Commercial Department takes care of offering the optimal mix of hotel rooms, restaurants, banquet rooms and other hotel facilities for a successful stay, meeting or event. The Reservations Department consists of six employees, of which one Reservations Manager, one Assistant Reservations Manager, two Reservations Agents and two Group Reservations Agents.

As Assistant Reservations Manager you are responsible for controlling the day to day reservation operations like; handling all group applications and reservations, as of ten hotel rooms per night, according to the standards of Leading Hotels of the World. You are responsible for maintaining contact with our current client base and our potential clients. Among other tasks, you will be responsible for sales and you function as the contact person during the stay of a group. You will work in close collaboration with the Conference & Events department, which is responsible for selling rooms in combination with our meeting facilities.

Tasks and responsibilities

  • Controlling the day to day reservation operations;
  • Maximizing business by ensuring all reservations are handled in a commercial way keeping objectives and market mix in mind;
  • Ensuring monthly goals of up-sell and cross-sell program is being met;
  • Ensuring reservation calls are being conducted according to the Leading Hotels of the World standards;
  • Takes over the responsibilities of the Reservations Manager in case of absence.
  • Inserting business blocks in PMS system;
  • Sending out personalized proposals;
  • Chasing optional bookings, negotiating when necessary;
  • Sending out group contracts according to the Uniform Conditions of the Hotel Industry;
  • Implementing rooming lists in PMS system;
  • Communicating No-show/ Late cancellation charges;
  • Using PMS system for efficiency purposes (e.g. activities, reports etc.);
  • Distributing information sheets to involved departments;
  • Attending weekly group forecast meetings;
  • Evaluating stay with contact person after group’s departure, to further improve service and increase returning business;
  • Controlling the day to day reservations operations;
  • Coaching and motivating the team and improving the efficiency and quality of the work of the reservations department according to the ‘Lean’ culture.

Working days and hours: Workdays are from Monday to Saturday between 08:00 – 19:00hrs, and we expect flexibility in case of network events or projects.

Profile

  • You graduated from a Middelbare Hotelschool or Hogere Hotelschool
  • You have work experience in a similar position
  • Excellent knowledge of both Dutch and English (oral and written)
  • You are commercially driven
  • You are flexible and service minded
  • You are representative
  • Sales experience is an advantage
  • Knowledge of the PMS System Opera is an advantage
